Order what you need, when the supplier wants it.

Autobuy

Autobuy is driven by TABS sales and stock analysis: what is selling and reorder levels, so suggested orders reflect real demand rather than a fixed minimum. Run it manually or on a schedule, with supplier order days, delivery days and minimum order values respected.

Buy for open orders

Raise purchase orders for exactly what outstanding customer orders need. Special orders and back-to-back lines included.

Purchase promotions

Capture supplier deals and mixed-deal purchasing, auto-fed from supplier price files, so the buyer sees the deal at the moment of ordering.

Alternative suppliers

Alternative suppliers per item with their own cost and reference, and PO grouping by alternate supplier when the usual one is out.

Purchase orders your way

Standard, quick entry, CSV upload, non-database lines, direct delivery, transfer and off-site POs.

Overdue alerts

PO overdue alerts in the alerts engine, hub PO status tracking and supplier credit requests through the hub.

Supplier invoices

The invoice checks itself. You approve it.

Upload a supplier PDF and the lines are extracted and reconciled to the purchase order. Combined multi-invoice PDFs are split automatically. Invoices can be assigned to a colleague with a "My Invoices" view, and the PDF is kept and attached to the Xero bill with per-supplier nominal overrides.

All six AI features

Goods received not invoiced

GRNI report with CSV export, uninvoiced PO report and PO invoice totals, so the accountant never chases you.

Price-file automation

New Item and Price Change reports from every supplier feed, with shelf-edge labels queued when a price moves.

Posted to accounts

Purchase bills post to Xero with the PDF attached, or to Sage 50 via Zynk.

Good to know

Purchasing questions, answered

How does Autobuy decide what to order?

Autobuy is driven by TABS sales and stock analysis: what is selling and reorder levels, so suggested orders reflect real demand rather than a fixed minimum. It runs manually or on a schedule and respects each supplier's order days, delivery days and minimum order values.

Can I buy only what my customer orders need?

Yes. "Buy for open orders" raises purchase orders for exactly what outstanding customer orders require, grouped by supplier, and special orders and back-to-back lines are added automatically.

How do supplier price files get into TABS?

Catalogue and price feeds arrive through the ETABS Hub for Toolbank, Draper, Trend, Sealey and Castle Clothing. New Item and Price Change reports show what changed, and shelf-edge labels are queued automatically. Any other supplier's spreadsheet or PDF price list loads through the AI Data Loader.

What happens at goods-in?

Deliveries are scanned against the purchase order on the desktop or a handheld computer, with over and short alerts, unidentified-stock alerts and multi-PO warnings. Batch numbers and expiry dates are captured with labels, stock is put away to a bin, and lines needed for waiting customer orders are allocated as they are booked in.

How do supplier invoices get checked?

Upload the PDF and AI Invoice Reconciliation extracts the lines and reconciles them to the purchase order, handling carriage, discounts, zero and negative lines. Combined multi-invoice PDFs are split automatically, invoices can be assigned to a colleague, and the PDF is attached to the Xero bill. Goods received not invoiced and uninvoiced PO reports keep the gap visible.
